Privacy Policy

This Privacy Policy explains how Vinren LLC, a Washington limited liability company ("Vinren," "we," "us," or "our"), collects, uses, and shares information when you use the Vinren website and services (the "Service"). By using the Service, you agree to this Policy.
1. Information We Collect
Account information
When you register, we collect your name, email address, password (stored only as a salted hash, never in plain text), and, optionally, a phone number. Landlords and managers may provide additional business contact details.
Rental application information
When you submit an application, we collect the primary applicant's first name, last name, email, and date of birth, along with employment status and stated monthly income. You may add household members: for additional adults we collect their name, email, and date of birth; for children we collect only a first and last name. Applicants also acknowledge the landlord's stated requirements. This information is visible to the landlord and any authorized manager for the property.
Listings, tenancies, and communications
We collect information you provide about properties, tenancies, move-in dates, showings, inspections, and maintenance requests, including per-property messages you exchange with landlords or managers and images or documents you upload through the Service.
These fields and uploads are meant only for information about renting and managing property. Please enter text and upload images only where they relate to the property, listing, application, tenancy, showing, inspection, or maintenance request at hand, and do not send us unrelated material or sensitive personal information we do not ask for — for example Social Security numbers, government-issued identification numbers, or health or financial records. Our Terms of Service require the same, and we may remove content that is unrelated to the Service.
Screening requests
If a landlord or manager asks you to be screened through the Service, we record that the request was made, when, and where it stands (for example, requested, accepted, or completed). To pass the request along, we give the screening company your name, email address, and the property and application it concerns, so that it can contact you. We do not collect, receive, or store your Social Security number, the report, any score, or anything else the screening company produces. See Section 4.
Contact and support
When you use our Contact page or account-recovery ("forgot password" or "forgot username") features, we collect the name, email address, and any message you provide so that we can respond and assist you.
Payment identifiers
We store identifiers issued by our payment processor (such as Stripe customer, connected-account, subscription, and payment identifiers) and transaction metadata such as amounts, dates, descriptions, and status for rent, deposit, and one-time payments. We do not collect or store full card numbers or full bank-account numbers; those are handled by Stripe.
Automatically collected information
Like most websites, we use a session cookie to keep you logged in and to operate the Service securely. Our servers may log technical information such as IP address, browser type, and pages accessed for security, debugging, and abuse-prevention purposes. We use Google reCAPTCHA on sign-up and login to protect against automated abuse; your interaction with reCAPTCHA and related device and network information are collected and processed by Google under its privacy policy.
2. How We Use Information
- To create and manage accounts and authenticate users.
- To operate the Service: publish listings, process applications, coordinate showings and maintenance, and manage tenancies.
- To facilitate rent, deposit, and one-time payments through Stripe.
- To deliver per-property messages between renters, landlords, and managers.
- To pass a landlord's screening request to our screening partner and show both sides whether it was sent, accepted, or completed.
- To send transactional email notifications (such as application, payment, showing, maintenance, and message updates) and account-recovery and support messages.
- To communicate with you about your account, transactions, and support requests.
- To maintain security, prevent fraud and abuse, and comply with legal obligations.
3. Payments
Payments are processed by Stripe, Inc. using Stripe Connect. Funds move directly from the renter to the landlord's connected account; Vinren does not hold or escrow rent or deposit funds, and rent and deposit payments settle to the landlord in full. Your payment-method details are collected and stored by Stripe under Stripe's own privacy policy. Vinren receives only tokens and identifiers needed to reference a transaction and to display payment history. See the Stripe Privacy Policy.
4. Tenant Screening
Vinren does not screen anyone and receives no screening data. Vinren is not a consumer reporting agency and stores no report, score, or result of any kind.
Where the Service offers it, a landlord or manager may ask you to be screened through our screening partner — a consumer reporting agency we work with, currently TransUnion Rental Screening Solutions, Inc., which offers its service as SmartMove. We may change or add screening partners, and the partner handling a request is identified to you when you receive it. The request is an invitation, and nothing is screened unless you choose to go ahead. If you do:
- To send the invitation, we share your name, email address, and the property and application it concerns with that partner. That is the only information about you we pass on for screening.
- You then deal with the partner directly. It verifies your identity, presents its own disclosures and authorization, and collects whatever it needs to produce the report, including your Social Security number and date of birth. That information goes to the partner, not through Vinren, and is held by it under its own privacy policy.
- You authorize the release of the result to the landlord who asked, and the partner sends it to that landlord directly. Vinren never sees the report, the score, or any of its contents.
- Vinren keeps only the fact that a request was made and where it stands. You may decline, in which case we record nothing beyond that the request went unanswered or was declined.
A landlord may also screen entirely outside the Service, through any provider they choose. In that case Vinren receives nothing at all and holds only the status the landlord sets by hand on your application (not started, pending, or completed) so you can see where things stand.
Any dispute about the accuracy of a report should be raised with the screening company that furnished it, since it is the only party holding it.
5. How We Share Information
- With landlords and managers: application, household, and tenancy information you submit for a property is shared with that property's landlord and authorized managers.
- With renters: relevant listing, tenancy, and payment-status information is shared with the renter involved.
- With service providers: Stripe (payments), Google (reCAPTCHA bot and abuse protection), cloud hosting and infrastructure providers that run the Service and store the files you upload, a transactional email provider that delivers our notification, account, and support email, and other providers acting on our behalf and under our instructions.
- With our screening partner: if a landlord asks you to be screened through the Service, your name, email address, and the property and application it concerns are shared with the screening partner identified in Section 4 so that it can invite you and verify your identity. Nothing it produces comes back to Vinren.
- For legal reasons: to comply with law, respond to lawful requests, enforce our Terms, or protect the rights, safety, and property of Vinren, our users, or the public.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
We do not sell your personal information.
6. Data Retention
We retain personal information for as long as your account is active and as needed to provide the Service, and thereafter as required to comply with legal, tax, accounting, and dispute-resolution obligations. Payment records are retained as required for financial and legal recordkeeping. Where a screening request is sent, we retain only the request and its status; anything you give the screening company, and any report it produces, is retained by that company under its own policies and retention schedule.
7. Security
We use administrative, technical, and organizational safeguards designed to protect personal information, including hashed passwords, encrypted transport (TLS), and restricted access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Choices and Rights
You may review and update your account information at any time through your account settings, and you may delete your account. Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, or to object to or restrict certain processing.
Washington residents
If you are a Washington resident, you may have additional rights regarding certain categories of data, including health-related and consumer data under applicable Washington law. To exercise any privacy right, contact us through our Contact page. We will verify your request and respond as required by law. You will not be discriminated against for exercising your rights.
9. Children's Privacy
The Service is intended for adults. We do not knowingly allow individuals under 18 to create accounts or submit applications as renters. Children may be listed as household members by an adult applicant, in which case we collect only the child's first and last name. If you believe we have collected information from a child in violation of this Policy, contact us and we will delete it.
10. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
